FieldThread is operated by Sky Link Solutions LLC (“we”, “us”), Pleasanton, California. This policy explains what FieldThread stores, why, and how to get it back or get it deleted. It is written for the people who actually use it: the contractor who hires us, and the crew members who text the project line.
— 01 · WHO THE PARTIES ARE
The contractor owns the record
A contracting company (the “customer”) engages us and tells us which WhatsApp thread is the project line. We process the messages on that line on the customer's behalf, to build their project record. The customer decides who has access to the dashboard and what happens to the record.
If you are a crew member and want your messages removed, the fastest route is to ask the contractor who runs the job. You can also write to us directly at the address at the bottom of this page.
— 02 · WHAT WE STORE
What comes in on the project line
We store what is sent to a project line we have been asked to follow, and what we derive from it:
MESSAGE CONTENT
Text messages, photos, video, documents and voice notes sent to the project line, plus transcriptions and translations we generate from them.
SENDER METADATA
The sender's WhatsApp phone number, their display or contact name, and the timestamp of each message. Attribution is a core feature — every entry in the record names who it came from.
DERIVED RECORD
The structured output: daily log entries, open items, schedule dates, material needs, tags, media ids, and confirmation status.
ACCOUNT + ACCESS
Customer contact details, project names and addresses the customer gives us, and the sign-in links issued for the dashboard.
We do not read WhatsApp threads we have not been pointed at, and we have no access to a phone's contacts, location, camera roll or other conversations.
— 03 · HOW IT IS USED
Building the customer's project record
Messages are processed to produce the project record and to keep it current: sorting entries, transcribing voice notes, translating between English and Spanish, extracting dates and material needs, and tracking what is still unconfirmed. Automated language models are used for that processing.
During the pilot, our team may read project content to diagnose problems and to check the clerk's accuracy. That is how we find and fix mistakes in the record.
We do not sell project data, and we do not use one customer's project content to advertise to anyone.
— 04 · WHATSAPP AND META
WhatsApp is the transport, not the record
Messages reach us over WhatsApp, which is operated by Meta. Meta's own terms and privacy policy govern the messaging service itself, including how messages are carried and what Meta retains. We are not affiliated with, endorsed by, or a partner of Meta or WhatsApp.
Because FieldThread participates in the project thread, messages on that thread are visible to FieldThread. Crew members should be told that the project line is recorded. Customers are responsible for telling them; we will supply plain-language notice text in English and Spanish on request.
— 05 · SERVICE PROVIDERS
Who else touches the data
We rely on third-party infrastructure to run the service: hosting and storage, the WhatsApp messaging interface, and language-model providers used for transcription, translation and structuring. These providers process data on our instructions in order to deliver the service.
— 06 · RETENTION
How long we keep it
The project record is designed to be durable — that is the point of it. We keep a project's messages, media and derived record for as long as the customer's account is active, so the history stays complete.
The record is append-only: corrections are filed alongside the original rather than overwriting it. That means a deletion request is a deliberate act, not an edit — we remove the material and note that a removal occurred, so the record does not silently change shape.
When a customer ends the pilot, we will export their record to them and delete it from our systems on request. Backups age out on their own schedule.
— 07 · SECURITY
Honest about where we are
Dashboard access is by sign-in link scoped to a single organization or project. Data is encrypted in transit. Access to production data is limited to the people running the pilot.
We hold no security certifications and make no compliance claims. FieldThread is a pilot-stage product from a small company, and you should treat it that way. Do not send material to the project line that you would not want stored — payment card numbers, government identification, or medical information.
— 08 · YOUR REQUESTS
Access, correction, deletion
Write to privacy@fieldthread.app to ask what we hold about you, to have something corrected, or to have your messages removed. Tell us the phone number you texted from so we can find your entries. We aim to answer within ten business days.
California residents have rights under the CCPA, including the right to know what is collected and to request deletion. We do not sell or share personal information as those terms are defined there.
— 09 · CHANGES
FieldThread is in pilot and this policy will change as the product does. Material changes will be sent to pilot customers directly, not just posted here.
